JOB SUMMARY

The Office Administrator plays a pivotal role in the efficient operation of an office environment. They are responsible for managing administrative tasks, providing support to employees, and ensuring the smooth functioning of office procedures.

JOB DETAILS

  • Provide administrative support to ensure the efficient operation of the office;
  • Handle incoming calls, emails, and other communications;
  • Schedule and coordinate appointments and meetings;
  • Prepare and maintain documents and reports;
  • Organize and maintain paper and electronic files;
  • Draft and edit correspondence, memos, and other documents;
  • Make travel arrangements for executives and staff;
  • Prepare itineraries, agendas, and travel expense reports;
  • Manage office supplies, inventory and budget;
  • Coordinate maintenance of office equipment and facilities (a/c units, computers, electrical and plumbing);
  • Set up and coordinate meetings and conferences;
  • Take minutes during meetings and distribute them to participants;
  • Update and maintain client information;
  • Greet and assist visitors to the Chairman/CEO’s office;
  • Filter (employees/consultants/visitors) issues before agreeing to schedule a meeting
  • Exercise a high level of confidentiality, professionalism, and integrity in all interactions
  • Handle sensitive issues and information with tact and discretion
  • Provide direct support to executives, including preparing briefing materials and managing their schedules
  • Assist with special projects and initiatives as assigned;
  • Perform any other duties as assigned in connection with this role;

EDUCATIONAL REQUIREMENTS AND EXPERIENCENCIES

  • BSc Management studies or similar discipline
  • Minimum of five (5) years’ practical experience as an office administrator or similar administrative role
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook) and other office software
  • Knowledge office procedures and the operation of office equipment

COMPETENCIES REQUIRED

  • Prior experience in an airport or cargo handling environment is an advantage.
  • Experience operating forklifts or similar heavy equipment.
  • Familiarity with aviation regulations and procedures related to cargo handling.
